2.01A – General Policies for Volunteers

Definition/ New Volunteer Application:

Volunteers are eligible members of the community at large who are not employed by CCHS, Inc. dba Open Door but who donate their time to assist with various activities.

Any one with interest in volunteering at Open Door will submit a volunteer bio application online via company website. The application will be reviewed by Operations designee with response to volunteer to set up initial conversation. If volunteer is interested in volunteering after this meeting, training/orientation and proper required pre-volunteer checks will be arranged.

    Volunteer Criteria (if volunteering 40 hours or more):

    Must be at least 15 years of age or older. NOTE: All volunteers under 18 years old must have the explicit permission of their parent or guardian and signed consent for background and other regulatory requirements
    Must complete a Volunteer application which is to be reviewed by Human Resources and department where the volunteer will be assign
    Must meet criteria for the following background checks performed by Human Resources Department: Ohio BCI and/or FBI Webcheck (fingerprinting), Ohio DODD Abuser Registry, Ohio Attorney General Sex Offender database search, Ohio Department of Health Nurse Aide Registry, US Health & Human Services Office of Inspector General Fraud Exclusion database, Ohio Department of Rehabilitation and Corrections incarcerated individuals database, US General Services Administration System for Award Management (SAM) database, Rapback ARCs, Medicaid Exclusion Database, and National Sex Offender Search.

        Transportation:

        1. Volunteers are not permitted to drive company vehicles.
        2. Volunteers may ride as a passenger in any CCHS vehicle.

        Volunteer Orientation Training:

        All volunteers are required to complete the volunteer orientation. This orientation provides volunteer with an overview of the organization, the programs and services provided, as well as the training necessary to ensure the health and safety of the individuals we support. Volunteers must complete the volunteer orientation training acknowledgement form when training is completed to meet the Ohio Department of Developmental Disabilities regulatory requirements for volunteering. These records will be maintained by Operations designee responsible for volunteer coordination.

        On-going Training:

        Open Door volunteers are required to meet certain criteria in order to maintain volunteer status with the company.  Volunteers must complete the on-going annual training acknowledgement form when training is completed to meet the Ohio Department of Developmental Disabilities regulations. These records will be maintained by Operations designee responsible for volunteer coordination.

        Volunteer Tracking:

        Volunteer hours will be submitted using the electronic tracking form. These records will be maintained by Operations designee responsible for volunteer coordination.

        Volunteer Status Concerns:

        If volunteer does not complete required criteria, training to maintain active status, they will not be permitted to continue to volunteer. Additionally, if any concerns arise that are determined to indicate that it is not in the best interest of Open Door for the volunteer to continue, the volunteer will receive an email or written letter of this determination stating they are no longer permitted to continue to volunteer.

        Clarification of Volunteer Roles:

        Volunteers are critical in enhancing the opportunities provided at Open Door. Volunteers can assist with inspiring life journeys, but are not permitted to perform personal incontinence care, medication administration, or other tasks during their volunteer time. Volunteers under 18, must have paid staff in area when volunteering. In a critical emergency situation where ER prep plan is activated, a volunteer may be asked to assist with general supervision or other tasks by Crisis Response Team with proper approval and documentation.
